The administrative assistant interacts with a variety of business units and may be involved in project assignments. Time-management, organizational and interpersonal skills are critical for success in the role.

Responsibilities

  • Support the effective time management of the team including tracking commitments, maintaining calendars/bring forward files, ensuring notification of upcoming deadlines, meeting preparation and expense tracking and management.
  • Coordinating the preparation of the annual capital and operating budgets.
  • Coordinating the monthly reporting of budget status and variance explanations.
  • Managing costs and revenues associated with external service agreements.
  • Managing monthly invoice billings including accrual requirements and forecasts.
  • Providing administrative support in the areas of expense preparation and reconciliation, cell phone accounts, vacation tracking, time entry, etc..
  • Preparing confidential internal and external correspondence, statistical tables, charts, reports and presentations.
  • Supporting the planning and scheduling of HR activities including salary planning, recruitment, succession and workforce planning, performance reviews, etc..
  • Providing a professional interface with internal and external people on a variety of written or personal interactions.
  • Making decisions to escalate urgent issues or delegating requests based on sense of urgency and importance.
  • Providing backup support to other administrative staff.
  • Supporting project work as required.

  • Qualifications

  • High School Diploma.
  • Minimum of three years administrative experience.
  • Experience and interest in financial analysis, and/or budget preparation.
  • High proficiency in Microsoft Word, Excel, Power Point and Microsoft Project.
  • Experience with SAP would be an asset.
